Organiser message templates
Rolling out ePegboard to your club explains the before / on-the-night / after loop that gets a club to take to ePegboard. This page gives you the actual words - three messages you can copy into your club chat (WhatsApp, Facebook, wherever your club talks), tweak for your club, and post.
Most organisers skip these messages only because writing them from scratch is a faff. These remove that: copy the one you need, swap the [bracketed] bits for your club’s specifics, and send. They are a starting point, not a script - your own voice will always land better.
Before the first session
Section titled “Before the first session”Post this a day or two before, in whatever channel your club already uses. It frames the change as a fix for something members already grumble about, and removes the surprise so the tablet on the night is the thing they were told about.
🏸 [Club name] - trying ePegboard on club nights
Hi everyone!
Over the coming weeks we will be introducing ePegboard on club nights.
The aim is not to change the social feel of the club - it is to make rotations fairer, cut the admin on our volunteers, and keep the board accurate all evening.
Why the change? The current pegboard can sometimes:
- get out of sync with what is actually happening on court
- end up with the same players repeatedly together
- be a pain for whoever is running it to keep updated
Longer term it also gives us player ratings, to help build more balanced, competitive games.
What we need from everyone - just three things: ✅ Check in with one of the admins ([names]) when you arrive. ✅ Let ePegboard pick the matches, rather than heading straight on court. ✅ Tell an admin the winner and score after each game.
That is it!
A couple of things… Not everyone will see this before the night, so if you spot someone heading for the old routine, give them a friendly nudge to check in with an admin first. The first few weeks only work if we all build the habit together.
Want a specific match? Totally fine - just tell an admin before you go on and we will set it up in ePegboard. We only ask that every game goes through the system, so the board stays accurate.
Swap in your club name and the admin names. Drop the ratings line if you would rather not mention it yet.
On the night
Section titled “On the night”A short nudge for people already at the hall or on their way.
🏸 We are running ePegboard tonight! When you arrive, check in with [an admin] and they will get you on the board. Let the system pick the games - and if you fancy a specific match, just ask an admin. Give it a go and tell us what you think.
After the session
Section titled “After the session”This is the one that turns players into claimed accounts. Send it within a few hours of the night, while it is fresh, and lead with what they get - not with a request to sign up. The share link comes from the recap screen at the end of the session.
🏸 Great night, everyone! Here is tonight’s recap - every game, who played who, and how it all shook out: [paste the session share link]
Want your own stats? Open the link, find your name and claim your profile - you will get your personal results, who you played with and against, your rating as it settles, court time and more, kept in one place session to session. Takes 30 seconds and it is yours to keep.
Any thoughts on how the night ran, let us know - it is early days and we are still finding the best way to use it.
Make it a habit
Section titled “Make it a habit”The power is in running all three, every session, for the first few weeks - not once. Each week a few more players claim their spot, and it becomes simply how your club night runs. See Rolling out ePegboard to your club for the reasoning behind each step.
- Roll out ePegboard to your club - the before / on-the-night / after loop these messages fit into.
- Do a practice run first - rehearse the flow before your first real night.
- Claim your spot - what your players get when they claim, so you can describe it.
- Recaps and your history - the session recap you share after each night.
