Scheduling and capacity

Most clubs play the same night every week. Rather than hand-adding next Tuesday every single week, you set a weekly schedule once and ePegboard adds each week’s session for you. Those auto-added sessions are ordinary sessions - they show in your Sessions list and run exactly like ones you create by hand (see Sessions) - so there is no new thing to learn. The schedule just stamps them out for you, six weeks ahead.

This page covers three things: setting up a recurring schedule, marking a session full, and how both show on your club’s public page and to your members.

Open the Sessions page and go to the Schedule tab. The Regular sessions card is at the top of that tab. When you have no schedule yet, it explains the idea and offers one button:

  • Choose + Set a weekly schedule to open the form.

Fill in the form and choose Save schedule:

ePegboard adds sessions 6 weeks ahead on a rolling basis - as each week passes, the far end of the window fills in, so there is always roughly six weeks of upcoming nights. You never have to top it up.

Once saved, the card shows the active cadence - for example Every Tuesday · 7:00 PM · 2h, the venue and profile, and the line Adding sessions 6 weeks ahead. The new nights appear on the Upcoming tab (see Where your sessions appear below).

If your club plays more than one night, choose + Add another weekly schedule and set up a second one - one weekday per schedule. Each schedule is managed on its own; pausing or deleting one never touches the others.

An active schedule row has three controls:

  • Edit - change the weekday, time, duration, venue, profile or capacity. Edits apply to future sessions only. Nights already in your list are left as they are, so nothing your members can already see silently moves - change an individual night from the Upcoming tab if you want the edit to apply to one that already exists.
  • Pause schedule - stops new sessions being added, without deleting the schedule. The row shows it is paused and offers Resume schedule to start again. Sessions already in your list stay.
  • Delete - after a confirmation (Delete this weekly schedule? / Delete schedule), the schedule stops generating. Sessions it has already added stay in your list as ordinary sessions - remove any you do not want individually.

The Sessions page is an always-visible Today card with three tabs beneath it - Upcoming, Completed and Schedule - so nothing is buried behind a long scroll:

  • Today - the session running now, or one due later today, kept at the top where you can always see it. Its Start, Open, Edit, Mark full and Delete actions are right there.
  • Upcoming - your future nights, generated ones and one-offs together, as compact one-line rows (date, time and name). The next four show; a Show all N upcoming button reveals the rest. Each generated night carries a small from schedule tag so you can tell it from one you added by hand. The tab label carries a count of how many are coming up.
  • Completed - finished sessions and their recaps.
  • Schedule - where you set up and manage the weekly schedule (the Regular sessions card). A small amber dot shows on this tab if a schedule has paused itself.

On a generated night - in the Today card or on the Upcoming tab - the usual Start, Edit and Delete actions apply. Edit opens the normal session editor: use it to change one night (a different time or venue for a one-off) without affecting the rest of the series.

To add a single extra night on top of the regular cadence, use the Add a one-off session form on the Upcoming tab, below the session list - it works just like creating any session by hand. (When you have no upcoming sessions yet, the Upcoming tab offers this directly, alongside a link to set a weekly schedule on the Schedule tab.)

Deleting a scheduled night is treated as a skip, not a hard delete - the club isn’t on that night, but the schedule keeps running for every other week. You get a softer confirmation:

Skip this session? This removes the night from your schedule. It won’t be added back automatically. You can restore it from Regular sessions.

Choose Skip this date to skip it, or Keep it to back out. If you skipped it from the Upcoming tab, a brief note confirms it - for example “Skipped Tue 12 Aug. You can restore it from the Schedule tab.” The skipped date is then listed on the Regular sessions card (on the Schedule tab) under Skipped dates with a Restore button, so a mistaken skip has a way back. (Deleting a one-off session you created by hand keeps the ordinary Delete Session? confirmation - that one cannot be undone.)

A schedule needs a settings profile to generate sessions. If the profile it uses is later deleted, ePegboard does not quietly swap in a different one - running sessions under settings you never chose would be worse than pausing. Instead the schedule pauses itself and the card shows a warning:

This schedule is paused - no new sessions are being added. The settings it used was deleted. Choose settings to start adding sessions again.

Choose Choose settings & resume, pick a profile, and the schedule starts again. (Renaming a profile is fine - only deleting the one a schedule depends on triggers this.)

Capacity in ePegboard is a signal, not a booking system. There is no reserving, holding or waitlisting a spot - it simply lets a visitor judge whether it is worth turning up, and lets you say “we’re full tonight”.

There are two ways it is set:

  • A capacity number on the schedule (the optional Capacity field). Every generated night carries it, and it shows publicly as Up to N players - a planning ceiling, not a live count of free places.
  • Mark full on an individual night. On the session’s row - in the Today card or on the Upcoming tab - each not-yet-finished session has a Mark full toggle. Turn it on and the night shows Session full on your public page; the button then reads Marked full - undo so you can turn it back off.

Marking a night full always wins over the capacity number - a night with a capacity of 24 that you have marked full shows Session full, not “Up to 24 players”. A night with no capacity set and not marked full shows no capacity line at all.

Your public club page at /club/{slug} shows your forward schedule to anyone - no sign-in, and no player names or ratings ever appear. Under Upcoming sessions it lists the next nights (up to eight), each with:

  • The session name and its club-local date and time.
  • A Live now badge on a night that is currently running.
  • The venue, if set.
  • The capacity signal - Up to N players, or Session full, or nothing when no capacity is set.

A club with no schedule and no sessions shows the honest line No sessions scheduled right now. Check back soon. rather than a blank page.

If you save a schedule without giving it a name, its sessions are labelled by weekday on the public page - for example Tuesday session - so the page never shows a bare profile name like “Default”.

When your page has real upcoming nights, ePegboard also publishes them as structured event data that search engines and AI assistants can read - so your club can be found by people searching for somewhere to play, at no extra effort from you. This carries the schedule, venue, club name and page link only; it never includes capacity numbers or any player data. A thin or empty page publishes none of this and is kept out of search until it has real content.

A member who opens the club from the player portal (/my-club/{slug}) sees the same schedule in an Upcoming sessions row - the next night as Next: … and the one after as Then: …, with the same capacity wording (Up to N players / Session full). When nothing is scheduled it reads No upcoming sessions scheduled. It is an at-a-glance view only - there is no RSVP or booking.
